Outlook Email Setup Guide

Microsoft Outlook allows you to manage your business email from your desktop or laptop. You can connect your cPanel webmail, business email or custom domain email using the correct incoming and outgoing mail server settings.

We recommend using IMAP if you want to sync your emails across multiple devices such as laptop, mobile and tablet.

Recommended Email Settings

Incoming Server IMAP Server: mail.yourdomain.com
Port: 993
Encryption: SSL/TLS
Incoming Server POP3 Server: mail.yourdomain.com
Port: 995
Encryption: SSL/TLS
Outgoing Server SMTP Server: mail.yourdomain.com
Port: 465 or 587
Encryption: SSL/TLS
Login Details Username: Full email address
Password: Email account password
Authentication: Required

How to Add Email Account in Outlook

  • Open Microsoft Outlook on your computer.
  • Go to File → Add Account.
  • Enter your full email address, such as info@yourdomain.com.
  • Choose manual setup if Outlook does not detect settings automatically.
  • Select IMAP or POP according to your requirement.
  • Enter incoming and outgoing mail server details.
  • Use your full email address as username and enter your email password.
  • Save settings and send a test email to confirm everything is working.
If Outlook keeps asking for password, check that your email password is correct, SSL ports are selected and SMTP authentication is enabled.

IMAP vs POP: Which One Should You Choose?

Choose IMAP if you want emails to remain synced between webmail, mobile and Outlook. Choose POP only if you want Outlook to download emails locally to one device.

Common Outlook Problems

  • Incorrect password or changed email password.
  • Wrong mail server hostname.
  • Incorrect IMAP, POP or SMTP port.
  • SMTP authentication not enabled.
  • IP blocked due to multiple failed login attempts.
  • Mailbox storage full or email quota exceeded.
